Automatically exempt Auto-Pay families from late fees

Please add an option to automatically exempt parents enrolled in Auto-Pay from automatic late fees.

We want to introduce automatic late fees for families who have not made any payment by the payment deadline. However, families paying through an agreed Auto-Pay instalment plan will legitimately have an outstanding balance after that date and should not receive a late fee.

Currently, we would need to manually select “Do Not Charge Automatic Late Fees” on every Auto-Pay parent account. This creates significant administration and a risk of charging families incorrectly.

A studio-level setting to automatically exempt Auto-Pay families would allow us to introduce late fees confidently, while supporting families who have chosen to spread their payments.

What specific challenge or problem does this idea solve?

We want to introduce automatic late fees for families who have not made any payment by the deadline. However, families paying through an agreed Auto-Pay instalment plan will still have an outstanding balance and should not be charged a late fee. Currently, each Auto-Pay account must be manually exempted, creating extra administration and a risk of errors.

How should this work?

Add a studio-level setting to automatically exempt families on an active Auto-Pay instalment plan from automatic late fees. This should cover existing and new enrolments, with the exemption updating automatically if a family leaves Auto-Pay.

Who will benefit (Admins, Staff, Students)?

Admins will save time managing exemptions and correcting charges. Parents will benefit from accurate billing and confidence that their agreed instalment arrangements are recognised.

How will this change impact your daily tasks or overall experience?

It would allow us to introduce automatic late fees confidently for families who miss the payment deadline without making any payment, while protecting those paying through agreed instalments. It would also reduce manual account updates and queries about incorrectly applied fees.
