Our studio, Elite Formation Studio of Dance, requires a 30-day written withdrawal notice. To better support our staff and maintain accurate records, we’d like to request or suggest the following feature improvements in DanceStudio-Pro:
When a family submits a withdrawal email and we acknowledge it, we’d like to be able to:
Manually enter the last day of attendance for the student (i.e., the end of their 30-day notice).
Upon entering that final date, we would like DSP to:
Automatically stop Autopay on the account after the final scheduled tuition payment.
Cancel any future payment plans or scheduled invoices beyond the final tuition period.
Set the student and their parents to inactive on the day after their final attendance date.
This would significantly reduce human error and streamline the offboarding process when a dancer leaves the studio.
Please let me know if these features are available or if there's a workaround we can implement in the meantime.

This idea solves the administrative burden and inconsistency involved in managing student withdrawals. Currently, when a student withdraws, we must manually stop autopay, cancel payment plans, track the 30-day window, and remember to deactivate the student and parent accounts. This creates room for human error, double billing, and poor parent experience, especially if something is missed or delayed. It will aslo help us not to have to process so many refunds. There is so much going on in the studio it is difficult to remember to not charge a dance account after a certain date. |

Who will benefit (Admins, Staff, Students)? |
Admins: No more juggling spreadsheets, reminders, or manually stopping billing. Less room for mistakes. Staff: Clear and consistent process for managing withdrawals without confusion or guesswork. Parents: Fewer billing errors or awkward emails about “why I got charged after I withdrew.” Students: Allows us to part on good terms, with no billing conflicts or class confusion. |
How will this change impact your daily tasks or overall experience? |
No matter what any studio withdrawl process is they can complete this. Even if its immediate we shoudl be able to make family inactive in one click. Now we have to go to both the student and the parent to make it inactive. Adding this step It will reduce stress, eliminate repetitive manual steps, and allow our team to spend more time supporting families and building programs instead of fixing billing errors. It will also protect our financial planning by ensuring withdrawal dates are clear and enforced properly without chasing loose ends. In short: this feature would create efficiency, professionalism, and peace of mind for everyone involved. |
