When we are trying to schedule a make-up, show only the classes that the student is eligible to take, but give a way that we can override that and see all classes if we want to make an exception. Then once we pick the class that they are going to take as a make-up, pop-up a calendar with all upcoming dates the class is offered highlighted so we just select the date they will be making up the class with instead of us having to determine what that date is and enter it. (Sometimes I put in the wrong date and then they don't show up in the class roster that day.)
Adding this to the portal so that they can schedule their own make-up would be fantastic as well. Don't allow them to see any classes they aren't eligible for on the portal. For that, they would need to contact us to schedule.
I'd like to take this a step further. It would be helpful to be able to setup which classes qualify as potential make-up classes when a student misses class. Then this information could be used in a number of ways:
Display through the portal what options they have for making up a missed class
Display only eligible classes when scheduling a make-up so you don't have to scroll through all of them
Show a calendar of when classes they can use for making up class are being offered
Allow the student/parent to schedule a make-up class themselves through the portal
This would save us so much time in administration and really help the parents to know what their options are as well as take care of their scheduling themselves. There would need to be a limit for max number of students allowed in a class. We might want a different max number than the enrollment max or at least include scheduled absences in the calculation of how many students will be in that class.
I'm only managing a small studio. I can't imagine managing all of these make-ups in a large studio. It would take up a good portion of a staff member's time.
